CIWG 2027–28 Document Guide
The simple reason why CIWG applications get stressful is that most families collect the student’s documents first and leave the parent’s Gulf-employment records to the last minute. This is dangerous because membership of CIWG is contingent upon both sets.
As well as the usual DASA paperwork you will need to provide four documents relating to the parent whose Gulf job you are using – namely the parent’s passport, visa, work permit and employer certificate. These documents should be telling the same tale. Names, passport numbers, company details, country and employment dates should match.
This guide details what you need to prepare, what each document proves and where families generally make mistakes.
Start with consistency, not scanning. Keep the student’s passport, school records, JEE Main details and parents’ employment documents ready side by side before making PDFs. It’s much easier to correct a name or date discrepancy at the beginning than to explain it during online verification.
You can think of the application as two folders. The first is the parent’s employment certificate. The second includes the student’s identity, academic and DASA records.

Before collecting documents, check whether the student’s CIWG route is actually supported by the parent’s Gulf-employment record and DASA eligibility requirements.
CIWG is an abbreviation for Children of Indian Workers in Gulf. This is a seat category in DASA and not a separate entrance exam and not a separate counselling portal.
The student still needs to fulfil the DASA eligibility criteria and use the corresponding JEE Main rank. The CIWG tag adds an additional layer: proof that a parent is meeting the Gulf-employment condition for the admission cycle.
The countries eligible to apply are: UAE, Bahrain, Iraq, Iran, Kuwait, Oman, Qatar and Saudi Arabia. Don’t just rely on where the family is living today. The category is the candidate’s status and the qualifying employment evidence of the parent.

The passport of the parent working in the Gulf and on the basis of whose employment the application is made should be used. The personal-information page must be readable, uncropped and complete.
Check the name and passport number on the visa, work permit and employer’s certificate. A renewed passport is not a problem in itself, but it can create a gap in the record. Have the old passport or an official linking document ready when the employment papers show the previous number.
A common issue: the passport shows the full name, but the letter from the employer has initials. Another often-cited mismatch is a different order of the surname. The family may regard these as trivial, but the verifier cannot assume that two differently written names refer to the same person.
The visa is used to determine the legal status of the parent in the Gulf country for the duration relevant to CIWG. It should include the parent’s name, passport number, country of issue, type of visa and dates of validity.
Don’t just upload the most recent visa without checking the dates. On occasion, the qualifying employment period is covered by an older visa. In this case, keep both records and make clear labels.
It is helpful if the visa contains sponsor or employer information but it should not be used as a substitute for the employer’s certificate.
The work permit is evidence of the parent’s right to work. Depending on the country, it may be a separate labour document, an electronic permit or part of a different employment record.
Useful details include the name of the parent, employer, occupation, permit number, issuing authority and validity dates. Company name must either match employer certificate or be explainable through an official transfer, merger or sponsor record.
Can it be exchanged for a residence card?The present invention relates to a method for the synthesis of 2-amino-3-cyanopyridine and its derivatives. The method comprises reacting 2-amino-3-cyanopyridine or a derivative thereof with a halogenating agent in the presence of a base. Don’t assume that. Emirates ID, QID, Iqama and other similar cards can support the file but they may not prove a work permit. Upload the named document unless the cycle instructions accept a specific alternative.
This is frequently the document that holds the entire CIWG claim together. It should be on company/organisation headed paper and signed by an authorised person.
The letter should mention the working parent and the name of the candidate. It should state if the employee is the candidate’s father or mother. The letter should contain the job title, workplace address, country and dates of employment. It’s easier to verify with a company seal and contact information.
Suggested wording:
“This is to certify that [parent’s full name], father/mother of [candidate’s full name], is/was employed with [company name] as [designation] at [company address and country] from [start date] to [end date/present].”
The standard experience letter may not refer to the candidate or the parent-child relationship. If you have a general letter of employment, ask the employer for a certificate specific to CIWG.
The parent’s records prove the CIWG claim. They do not replace the student’s normal DASA documents.
The candidate’s passport should be in accordance with the JEE Main application and school records. Use the accepted Class 10 board, university or government record specified for the cycle for date of birth.
Upload complete records, not isolated result screenshots. The verifier should be able to see the candidate’s name, school or board, subjects, marks or grades, passing status and examination year.
It’s easy to miss Class 11, especially if you changed schools or countries. If a previous institution has that transcript, ask for it early.
The school leaving certificate should mention attendance, classes passed, board of examination, subjects, medium of instruction and address of the institution. It must be signed and stamped by the school.
For candidates who must establish education abroad, academic records are stronger than a bundle of immigration stamps. Use the school certificate, marksheets and leaving certificate in the prescribed combination.
If the school only reports grades, uses a CGPA scale you are unfamiliar with, or does not state a percentage, you may need an equivalence document. The conversion should be obtained from the examination board, awarding authority or other recognised official source and not from a spreadsheet prepared by the student.
Use the format of the medical certificate for the admission cycle. OCI and PIO documents are required, as applicable. Candidates waiting for a final result should submit the cycle-specific undertaking and the result within the indicated deadline.

If the documents are other than English or Hindi, the same should be supported by an authenticated translation. Do not overwrite the original-language record, upload the translation as well.
A good scan is boring—and that is exactly what you want. It should be straight, readable and complete. Avoid shadows, cropped edges, screenshots, reflections and password-protected PDFs.

Even if it is a valid document, the file must meet the portal specifications in order to be uploaded.

Don’t ignore minor spelling variations. Fix them or be ready to provide an official explanation before the verification begins.
Experience letter can only prove employment, but it can’t prove the link between the employee and the candidate. Send a letter on company letterhead with candidate’s name, relationship and dates of employment.
This is not always fatal, but it needs explaining. Have the renewal or transfer documents ready, and include records covering the relevant period.
Residence and employment need not be the same legal status. A residence card may assist with the application but should not be automatically substituted for a work permit specifically requested.
Keep the old and new passport pages together or provide an acceptable linking document. Otherwise the visa will look like it is for someone else.
Parent employment is only one part of eligibility. The candidate must still satisfy the academic, nationality, study-history and JEE Main requirements.
Check the candidate portal frequently during verification. Do not wait for an email or text message. A query that is not answered by the deadline can affect the category tag or candidature.
Documents confirm eligibility, but seat allotment depends on rank, choices and category availability. Plan choices with realistic DASA and CIWG movement.
The core checklist is the same across the CIWG countries, although local document names differ. For example, a residence or labour record in one country may look very different from the equivalent document in another.

Country-specific identity cards can strengthen the file, but the safest approach is to prioritise the document types named in the DASA instructions.
